Lead status stages: a simple pipeline for teams that sell by phone
Lead status stages are the named steps a prospect moves through, such as New, Contacted, Interested, Won or Lost, so a team knows who to call next. Calling CRM lets you create, rename, recolour and reorder your own stages.
- A starter set of stages
- Rules for moving a lead
- Keeping the list short
What are lead status stages?
They are the steps a lead passes through from first enquiry to a sale or a no. Calling CRM lets each business name and order its own stages.
- Each stage should mean one clear thing
- Every move needs a reason a caller can state
- Fewer stages are used more honestly
Lead status stages: a starter set
Six stages that fit most phone sales teams. Rename them to match how your customers buy.
| Stage | What it means | Move on when |
|---|---|---|
| New | Lead received, not yet called | The first call is attempted |
| Contacted | Reached at least once, need not yet clear | The person shows real interest or says no |
| Interested | Has a need and wants to continue | A meeting, visit, demo or quote is agreed |
| Follow-up | A specific next step is booked | The step happens |
| Won | Paid or signed | Move to clients and renewals |
| Lost | Said no or never reachable | Win-back attempt later, or close |
Lead status stages: how many is right?
As a rule of thumb, five to seven stages are enough for a phone team. With more, callers start picking whatever is nearest, and the reports stop meaning anything. With fewer, the owner cannot tell a cold contact from a hot one.
Start with the starter set above, run it for a month, and add a stage only when the team keeps saying the same thing that no stage captures.
Rules for moving between lead status stages
- A lead moves forward only when something happened on a call, not because time passed.
- Every lead in Interested or Follow-up must have a dated next step.
- A lead goes to Lost with a reason in the remark, so a later win-back call has context.
- Nobody deletes leads to tidy the list; Lost keeps the history.
Setting up lead status stages in Calling CRM
Calling CRM has a custom status pipeline. You can create stages, rename them, change colours and drag them into order. A stage that is still in use cannot be deleted, which protects the history of leads already in it.
Every change is kept in the lead’s status history, including changes made on the web. A status change can also send an automatic WhatsApp message, for example a brochure when a lead becomes Interested. The lead management app page covers the filters and bulk edits built on these stages.
Lead status stages after the sale and after a no
Won leads become paid clients in one tap, with their own tab, sales history and renewal reminders; see the client renewal reminder app. Lost leads sit in a separate list ready for a win-back campaign, covered in lost leads tracking.
If your team is new to the words used here, the telecalling CRM full form guide defines them.
Lead status stages example: a solar installer in Jaipur
A solar installer in Jaipur uses six stages: New, Contacted, Site visit booked, Quote sent, Won and Lost. "Interested" became "Site visit booked" because a visit is the real turning point in their sale.
When a lead moves to Quote sent, an automatic WhatsApp carries the quote file. A rule says any lead in Quote sent without a follow-up date gets flagged in the 4 pm review. The stage names are illustrative of how one business adapted the starter set.
Lead status stages FAQ
What are the stages of a lead?
A simple set is New, Contacted, Interested, Follow-up, Won and Lost. Many businesses rename these to match their own sale, such as "Site visit booked".
What does lost leads mean?
Lost leads are people who said no or could not be reached after reasonable attempts. Keep them in a Lost stage for later win-back rather than deleting them.
What is the difference between lead status and lead stage?
Most teams use the two words for the same thing: where a lead is in the buying process. Some CRMs use status for call outcomes and stage for the pipeline.
How many lead status stages should a small team have?
Five to seven usually work well. More than that and callers stop choosing carefully.
Can I rename lead status stages later?
Yes. In Calling CRM you can rename and recolour stages at any time, and the change applies to existing leads.
Can I delete a lead status stage?
In Calling CRM a stage can be deleted only when no lead is using it. Move those leads to another stage first.
Should every lead status change trigger a message?
Only where it helps the customer, such as sending a brochure on Interested. Calling CRM lets you set an automatic WhatsApp per status.
What is the best CRM for custom lead status stages?
One that lets you create, rename, reorder and colour stages yourself and keeps a history of every change. Calling CRM does all of that.
Does Calling CRM support custom lead status stages?
Yes. Calling CRM has a custom status pipeline with create, rename, recolour, drag to reorder and protected delete.
How do I see the history of a lead’s status?
Open the lead’s history. Calling CRM keeps every status change, including changes made on the web.
When should a lead be marked lost?
When the person clearly says no, or after the number of attempts your team agreed. Write the reason in the remark.
